Question:
Describe four (4) models and methods of communications management in the context of a project life cycle.Explain the importance of managing risk by treating information securely. • Employee confidence in management• Customer/ client satisfaction• A project’s/ organisation’s reputation• Keeping within budget• Keeping within the law.
Answer:
Verbal methods of communication, such as face-to-face discussions, online/offline meetings, and group discussions can be done. Written methods, as use of reports & documentation, emails, and instant messages may also be used for communication and information sharing. The models may be formal, such as formal meetings and discussions and also informal, such as friendly discussions in a team. The communication mechanisms may include only internal resources while there may be external communication with external stakeholders and third-parties that may be carried out. Listening during the meetings, discussions, and seminars is also an effective communication method.
The contents of communication plan shall include communication methodology, modes & mechanisms of communication, roles & responsibilities, and report structures. Tele-communication networks, virtual private networks, and company networks may be used for communications.
managing Risks by Treating Information Securely
The projects are exposed to a number of information security risks and attacks. These risks can be treated and managed by using a pre-defined set of methods for maintaining information security. The use of methods, such as encryption, technical controls for data protection, and administrative measures for maintaining information security will result in the protection of sensitivity and confidentiality of the information sets. The information security risks also lead to the emergence of ethical issues and legal obligations for the projects and the associated entities. Risk management by treating information security will keep aside all of such risks and will enhance the overall quality of the project (Joslin and Müller, 2015).
Methods to Review Project Outcomes
Project outcomes can be reviewed by using a variety of methods. The two methods that may be used for evaluation of the project are formative evaluation and summative evaluation.
Formative Evaluation
The first method that may be used to review and assess the project outcomes is formative evaluation of the project tasks, activities, and progress. It is an evaluation process that is carried out in the developmental and implementation stages of the project. There are targets that are required to be set up in every project phase and the same is done during this procedure. All of the project activities that are carried out may have certain impact on the project or any of its associated entities. The degree of impact is determined in this process. Needs assessment is also a part of the evaluation process that highlights the resources that may be needed for the project. Implementation evaluation is done to validate and verify the efficiency of the procedures that are out in place. The areas of improvement are also identified as a result to make sure that the changes are made accordingly (Nguyen, Chih and García de Soto, 2017).
Summative Evaluation
It is the evaluation process that is carried out in the advanced stages of the project. It is done to determine the activities that are carried out by the team members and to suggest the improvements that may be made. The project outcomes are assessed and are mapped with the short-term and mid-term project goals. An impact analysis is also carried out in the evaluation process to understand the ability to achieve the long-term goals. There may be certain loopholes and gaps that may be identified by the end of the evaluation process.
There is a formal report that is prepared to highlight all of such information and the corrective measures are also suggested. The changes as suggested during the evaluation process are then made for continuous improvement of the project deliverables and for the enhancement of the project quality.
